When to Shred
When to Shred

With Vangel’s willingness to customize a pick-up schedule to meet our clients’ needs, almost anytime is a good time to shred. According to NAID:

Shred on a regular schedule.
Sporadic shredding may be misconstrued as suspicious.

Use your shredding contractor for ALL of your shredding.
If some documents go to your shredding contractor on a regular basis and some are shredded outside of that process, it may call attention to the activity.
                                            
Have a destruction policy.
A stated policy that is communicated to all employees which explains the what, why, when and how of your destruction process will minimize any hint of impropriety.

STOP! When shouldn’t you shred?
You have a duty to suspend shredding and preserve documents if you are in litigation or anticipate litigation. An organization CANNOT destroy applicable records for:

  • Subpoenas
  • Regulatory suits
  • Governmental inquiries
  • Federal and state laws and regulations

Records Purge Suggestions
Your business cycle, changes in operations and your records retention schedule may result in temporary volume increases or you may have the need for a one-time clean-out. Here are a few examples when our clients call for purge service:

  • End of calendar year
  • End of fiscal year
  • Relocating or moving offices
  • Adherence to your Records Retention Schedule (Many records can be purged after 3, 5 or 7 years. Some must be kept permanently. Check with your accountant, attorney, or records management deptartment.)
  • America’s Recycle Day (November 15)
  • Earth Day (April 22)
